Library facilities, computer access & RiO


Introduction

OT students placed within SWLSTG have access to our library facilities for the duration of their placement.  There is an extremely comprehensive library based within St George Medical School and smaller satellite libraries in various locations throughout the Trust.

Registration

Prior to a placement the SWLSTG Placement Co-ordinator will provide the St George's Library with details of all OT students allocated to the Trust. Once on placement the student should take a completed Library Introductory Letter to the library where the necessary paperwork will be completed. Students will only have reference rights and therefore will not be able to borrow books from the library.

SCONUL Access

This is a co-operative venture between higher education libraries which enables placement students to borrow materials from other libraries.  Oxford Brookes, South Bank and Brunel University libraries are all members of this scheme which will allow you to register with Kingston University library. Reading and Internet resources

We have compiled a recommended reading and Internet resources list for students, which will help them to prepare for placements. We are aware that for many students this is their first and possibly only mental health placement, so in order to get the most out of the experience please discuss with your educator which pre-placement reading they would advise.  We have divided the list into three main categories:

  • General mental health
  • Clinical area specific e.g. eating disorders
  • Occupational therapy and mental health

To avoid confusion and any difficulty obtaining resources, as far as possible, we have included books that are already on the University reading lists.

Computer Access

Once you have a library card you will be able to use the computers in the Springfield, Sutton and St George's  libraries.  The computer helpdesk in St George's library will advise you on user numbers and passwords.

Students may use their Personal Athens Passwords at the library to access relevant databases.  These will be issued by the students University Library. E.g. Brunel, Oxford Brookes.  If a student does not have a  database password St George's Library can issue a generic one which will allow access to the databases whilst using the computers in the library.

You must also register with the Trust IT Department to give you access to the computers in your work area.  Prior to the placement your practice placement educator will arrange for this to be done using the Trust's online system but it is essential that you read the following policies:

The Trust uses an electronic records system called RiO.  If your educator requires you to be registered to use RiO (usually if your placement is for more than 4 weeks) you will be invited to attend a training workshop soon after your placement has started.

From 7th June 2010 you will need a Smartcard in order to access RiO. 

If you already have a Smartcard which was issued by another Trust please contact the Registration Authority on 0208 682 6168/5997 or smartcards@swlstg-tr.nhs.uk to discuss having your card unlocked for use during your placement within this Trust. 
 
If you need to register for a Smartcard your PPE will arrange for you to have a one-to-one meeting with a member of staff from the Trust's Registration Authority. They are based in:

You must take at least three pieces of personal identification with you to the meeting. This is essential because protecting patient confidentiality is an important component of the Smartcard initiative.

They must be originals, not copies and can be either:  two items of photo ID and one address ID or one photo ID and two address ID


Accepted forms of ID for Smartcards


Photo ID
Current UK or EU passport
Non-EU passport containing a UK stamp, visa or UK residence permit showing your immigration status in the UK
Current photocard driving licence
National ID card or other valid photo documentation showing your immigration status and permission to work in the UK
Any document that is not listed above (e.g. an NHS identity card) is not acceptable.

Address ID
Utility bill (gas, electricity or phone), or pre-payment certificate from the supplier (note: mobile telephone bills are not acceptable)* 
Council tax bill valid for the current year*
Current UK driving licence (old-style or photocard), but not if you have already presented this as photo ID
Bank, building society or credit union statement or passbook*
Most recent mortgage statement from a recognised lender*
Current local council rent card or tenancy agreement*
Current benefit book or card or original notification letter from the Department of Work and Pensions (DWP) confirming your rights to benefit
Confirmation from an electoral register search that a person of that name lives at the claimed address*
Court order*
*The date on these documents must be within the last six months and they must contain your name and address.
If you think that you will have any difficulty providing any of the listed ID please contact the registration authority before your placement starts in order to discuss acceptable alternatives.
